Terms & Conditions

Effective from: 18.08.2026

These Terms & Conditions apply to all gardening, grounds maintenance, hedge trimming, grass cutting, paddock mowing and other outdoor services provided by White Horse Garden Care (“we”, “us”, “our”) to the customer (“you”, “your”).

By accepting a quotation, booking a service, or allowing work to commence, you agree to these Terms & Conditions.

1. Quotations and Pricing

1.1 All quotations are based on the information and access available to us at the time of quotation.

1.2 Unless otherwise stated, quotations are valid for 30 days from the date of issue.

1.3 Prices may be adjusted if the condition, size, access or scope of the work differs materially from that described when the quotation was provided.

1.4 Additional work requested by the customer will be charged separately. Where practical, we will agree the additional cost with you before carrying out the work.

1.5 Any advertised “starting from” prices are minimum prices and may vary depending on the size, height, condition, density, access and amount of work required.

2. Booking and Appointments

2.1 A booking is confirmed once the customer has accepted the quotation or otherwise agreed for the work to proceed.

2.2 We will make reasonable efforts to attend on the agreed date or within the agreed service period.

2.3 Appointment times are estimates unless a specific appointment time has been agreed in writing.

2.4 We may need to rearrange appointments due to circumstances outside our reasonable control, including severe weather, equipment failure, illness, unsafe working conditions or other unforeseen circumstances.

3. Weather and Working Conditions

3.1 Gardening and grounds-maintenance work is weather dependent.

3.2 We reserve the right to postpone or stop work where weather or ground conditions could make the work unsafe or cause damage to the customer’s property, lawn, soil, plants or surrounding areas.

3.3 Where possible, we will rearrange postponed work at the earliest reasonable opportunity.

4. Customer Access and Responsibilities

4.1 The customer must provide safe and reasonable access to the property and the areas where work is to be carried out.

4.2 The customer must inform us of any known hazards, underground services, septic tanks, drainage systems, electric fencing, irrigation systems, hidden obstacles or other conditions that may affect the work.

4.3 Gates and access routes should be unlocked and accessible at the agreed time unless alternative arrangements have been made.

4.4 We are not responsible for delays or additional costs resulting from inadequate access or undisclosed hazards.

4.5 Where access requires the use of a customer’s gate, driveway, track or other private access route, the customer is responsible for ensuring that it is suitable for our equipment and vehicles.

5. Hedge Trimming

5.1 Hedge trimming prices depend on the height, length, thickness, species, condition and accessibility of the hedge.

5.2 Prices advertised per metre are starting prices and may increase for particularly tall, thick, overgrown or difficult-to-access hedges.

5.3 Unless specifically agreed, hedge trimming does not include major hedge reduction, removal, stump removal or tree work.

5.4 We will take reasonable care when trimming hedges. However, we cannot guarantee that every section will be perfectly uniform where the existing hedge is uneven, damaged, diseased or irregularly established.

5.5 The customer is responsible for confirming that they have permission to trim or reduce a hedge where the hedge is shared with, owned by, or affects another property.

6. Grass Cutting and Paddock Mowing

6.1 Prices for grass cutting and paddock mowing depend on the size and condition of the area, grass height, terrain, obstacles and access.

6.2 Areas containing significant amounts of rubbish, stones, wire, branches, animal waste or other debris may require additional preparation or charges.

6.3 We may decline to mow an area where hidden objects or conditions create an unreasonable risk of damage to equipment or injury.

6.4 Paddock mowing does not include removal of animal waste, manure, fencing materials or other debris unless specifically agreed.

7. Green Waste and Disposal

7.1 Unless otherwise stated in the quotation, green waste may be left neatly on site or placed in an agreed location.

7.2 Where green-waste removal is requested, an additional charge may apply depending on the volume and type of waste.

7.3 Large quantities of waste, particularly from hedge reductions or overgrown vegetation, may incur additional disposal charges.

7.4 We will dispose of green waste responsibly and in accordance with applicable regulations.

8. Damage and Existing Conditions

8.1 We will take reasonable care of your property while carrying out the agreed work.

8.2 We cannot accept responsibility for damage caused by hidden, concealed or undisclosed objects, services or hazards.

8.3 This may include, but is not limited to, hidden cables, pipes, irrigation systems, drainage systems, fencing, buried objects, tree roots, stones, rubble or other concealed items.

8.4 We cannot be responsible for pre-existing damage, defects, disease, structural weakness or poor condition of plants, hedges, trees, fences, walls, paving or other property.

8.5 If we identify a potential hazard before or during the work, we may stop work and discuss the situation with you.

9. Trees and Specialist Work

9.1 Standard gardening services do not include tree surgery, tree removal, dangerous tree work or other specialist arboricultural services unless specifically agreed.

9.2 Where specialist work is required, we may recommend that an appropriately qualified specialist is used.

9.3 Tree work may be subject to additional requirements, permissions or restrictions, including those relating to protected trees.

10. Payment

10.1 Unless otherwise agreed, payment is due on completion of the work.

10.2 For regular maintenance services, payment terms may be agreed separately.

10.3 We accept payment by Bank transfer, UK Cards (Not Amex), Cash

10.4 Invoices must be paid within 7 days of the invoice date unless otherwise agreed.

10.5 We reserve the right to charge interest on overdue payments where permitted by law.

10.6 We may suspend future services where an account remains overdue.

11. Cancellation

11.1 We understand that circumstances can change and ask customers to provide as much notice as reasonably possible when cancelling or rearranging an appointment.

11.2 For regular scheduled work, repeated cancellations or failure to provide access may result in the service arrangement being reviewed or terminated.

11.3 Where a customer cancels a confirmed booking at short notice, we reserve the right to charge a reasonable cancellation fee where we have incurred costs or lost a time slot that could not reasonably be reallocated.

11.4 Any cancellation charge will be communicated to the customer and will be proportionate to the circumstances.

12. Customer Satisfaction and Complaints

12.1 We aim to provide a professional and high-quality service.

12.2 If you are unhappy with any aspect of the work, please contact us as soon as reasonably possible and explain the issue.

12.3 We will have the opportunity to inspect the work and, where appropriate, put matters right.

12.4 Complaints should normally be raised within 7 days of completion so that any issue can be inspected while the work remains readily identifiable.

13. Liability

13.1 We will carry out services with reasonable care and skill.

13.2 Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited under UK law.

13.3 Subject to applicable law, we will not be responsible for indirect or consequential losses arising from the services.

13.4 We maintain appropriate business insurance for the services we provide.

13.5 Nothing in these Terms & Conditions affects your statutory rights as a consumer.

14. Plants, Lawns and Natural Materials

14.1 Gardening involves working with living plants and natural materials. Results can therefore be affected by weather, soil conditions, pests, disease and other factors outside our control.

14.2 We cannot guarantee the long-term health or appearance of lawns, hedges, plants or other vegetation following maintenance work.

14.3 Where pruning or cutting is requested, the customer accepts that some plants may respond differently depending on their species, age, health and existing condition.

15. Pesticides and Chemicals

15.1 Any use of pesticides, herbicides or other treatment products will only be undertaken where appropriate and in accordance with applicable legislation and product requirements.

15.2 Where specialist treatment is required, this may be quoted separately.

16. Photos and Marketing

16.1 We may ask for permission to take photographs of completed work for our portfolio, website or social media.

16.2 We will not publish identifiable photographs of customers or private personal information without appropriate permission.

16.3 Customers may decline permission for photographs without affecting the service provided.

17. Privacy

17.1 We will handle customer information responsibly and only use personal information where reasonably necessary to provide our services, communicate with customers, process payments, maintain records or comply with legal obligations.

17.2 Customer information will not be sold to third parties.

18. Unforeseen Circumstances

18.1 We will not be liable for failure or delay caused by circumstances reasonably outside our control.

18.2 This may include extreme weather, flooding, storms, equipment failure, road closures, illness, accidents, utility failures or other unforeseen circumstances.

18.3 Where possible, we will notify the customer and rearrange the work.

19. Changes to These Terms

19.1 We may update these Terms & Conditions from time to time.

19.2 The version applicable to a booking will normally be the version in force when the booking is accepted, unless otherwise required by law.

20. Governing Law

20.1 These Terms & Conditions are governed by the laws of England and Wales.

20.2 Any disputes will initially be dealt with through good-faith discussion between White Horse Garden Care and the customer.
